1. Statement

The Belgian Evangelical Mission, hereafter referred to as BEM, places great importance on protecting the personal data of its members, incoming members and subscribers and ensures that their privacy is respected.

In this Privacy Declaration we want to give clear and transparent information on what data we collect and how we deal with personal data. We do our utmost to guarantee your privacy and therefore handle personal data with care.

In all cases, the BEM observes the applicable laws and regulations, including the General Data Protection Regulation.

2. Our responsibility

This implies that we: 

  • process your personal data in accordance with the purpose for which it was provided. These purposes are described in this Privacy Declaration; 

  • limit the processing of your personal data to only those details that are minimally necessary for the purposes for which they are processed; 

  • ask for your explicit permission if we need this for the processing of your personal data; 

  • have taken appropriate technical and organisational measures so that the security of your personal data is assured; 

  • do not pass on personal data to other parties, unless this is necessary for the execution of the purposes for which it was provided; 

  • are aware of your rights regarding your personal data, want to point these out to you and respect these.

As BEM we are responsible for the processing of your personal data.

3. Why do we process personal data?

Your personal data is processed by the BEM for the following purposes and legal grounds: 

  • for carrying out the membership administration. This concerns those who have entered into a contract with the BEM; 

  • to communicate about developments and other matters concerning the BEM; 

  • to be able to participate in the activities of the BEM; 

  • in order to be able to arrange matters on your behalf, for which the BEM's efforts are required, such as arranging residence permits; 

  • for sending newsletters and invitations; 

  • to inform governmental bodies, insofar as there is a legal obligation to do so. 

  • For the above-mentioned purposes we may request and process the following personal data: 

  • Personal identification data: surname, first name, address, telephone number, e-mail; 

  • National registration number, insofar as there is a legal obligation to do so; 

  • Personal characteristics: gender, date of birth, place of birth, nationality. 

 

As the BEM is a Christian organisation, it also collects data on personal faith matters from its (joining) members. 

 

We use the collected data only for the purposes for which we have obtained the data. 

 

4. Provision to third parties

We may pass on the data you provide to third parties if this is necessary for the fulfilment of the purposes described above.

For example, we use a third party for: 

  • taking care of the internet environment (web hosting); 

  • taking care of the IT infrastructure (e.g. IT network, ...vb Dropbox, box.com); 

  • taking care of (and distributing) newsletters and invitations; 

  • affiliation to the Federal Synod, the VEG, EAV, EVW; 

  • insurances: accident insurance, volunteer insurance etc. 

 

We never pass on personal data to other parties with whom we have not concluded a processing agreement. With these parties (processors), who are also bound by the GDPR regulations, we make the necessary arrangements to guarantee the security of your personal data.

Furthermore, we will not pass on the data you have provided to third parties, unless this is legally required and permitted. An example of this is the police requesting (personal) data from us as part of an investigation. In such a case we must cooperate and are therefore obliged to hand over this data.

We can also share personal details with third parties if you give us your (written) permission to do so. You have the right to withdraw this permission at any time, without prejudice to the lawfulness of the processing before the withdrawal. We do not provide personal data to parties located outside the EU. 

 

5. Minors

We only process personal data of minors (persons under 16 years of age) if written consent has been given by the parent or legal representative. 

 

6. Storage period

The BEM will not retain personal data any longer than necessary for the purpose for which it was provided or as required by law. After the person concerned cancels the membership, the data will not be kept for longer than one year. 

 

7. Security of data

We have taken appropriate technical and organisational measures to protect your personal data from unlawful processing, including the following measures: 

  • All persons who have access to your data on behalf of the BEM are bound to secrecy. 

  • We use a user name and password policy on all our systems; 

  • We anonymise and encrypt personal data if necessary; 

  • We make back-ups of personal data to be able to restore it in case of physical or technical incidents; 

  • We regularly test and evaluate our measures; 

  • Our employees are informed about the importance of protecting personal data.

8. Your rights concerning your data

You have the right to inspect, correct or delete the personal data we have received from you. At the top of this Privacy Declaration you will find how you can contact us. You can also object to the processing of your personal data (or part thereof) by us or by one of our processors. You also have the right to have the data you have provided us transferred to yourself or on your behalf directly to another party. We may ask you to identify yourself before we can comply with the aforementioned requests.

9. Complaints

If you have a complaint about the processing of your personal data, please contact us directly. You always have the right to submit a complaint to the Privacy Commission, which is the supervisory authority in the field of privacy protection.

 

10. Amendment of privacy statement

The BEM can change its Privacy Declaration, for example, as a result of developing insights. When there are changes, they will be announced clearly on the website. The last amendment took place on June 7, 2018. Older versions of our Privacy Declaration will be stored in our archive. Please send us an email if you wish to consult them.
